Meeting rooms are available at three branches: Hopewell, Prince George, and McKenney, offering a variety of sizes from study rooms accommodating up to 2 people, to large meeting rooms accommodating up to 100. Reservations can be made online between 12 hours and 30 days in advance. Day-of reservations are permitted in-person if the room is available.
- Your reservation is not confirmed until you receive an email saying it is approved. 24 hours prior to your approved meeting the system will send you an automated reminder email. You can also call the library to confirm.
- Each reservation is limited to four hours and must end 30 minutes before closing time.
- Patrons or groups may hold only one reservation at a time.
- Reservations cannot be declared private, and no fundraising activities, except those sponsored by the Appomattox Regional Library System, are allowed. Additionally, collecting funds, including for religious services, is prohibited.
- Both non profits and local businesses can submit requests, to extent that such meetings do not prohibit general availability to the public.
- Admission fees are not allowed for attendees of meetings or workshops, and the rooms cannot be used for social or personal events like birthday parties or reunions. Alcoholic beverages are strictly prohibited, and users are responsible for cleaning up food or beverages they bring in. If you make a mess with food, craft supplies, or other material please ask staff for cleaning supplies. You are responsible for leaving the room as clean as you found it.
- Meeting room capacity must not be exceeded, and refreshments (excluding aromatic foods and alcohol) are allowed but must be managed by the reserving organization.
- Users may use library-provided equipment if available, but they are responsible for their own devices. The library can provide equipment or related items, such as AV carts, cables, projectors, laptops, access to the WiFi, etc. as available at each library location. Equipment for public use varies between the different library locations. Users must confirm and reserve library equipment at the time of making the reservation. Computers and projection equipment belonging to users can be used in meeting rooms. Users are responsible for any troubleshooting.
- Users must inform the library promptly of any cancellations.
- If a reservation holder is more than 30 minutes late, the reservation may be canceled.
- Rooms must be set up by users, used within library hours, and restored to their original condition.
- Personal items cannot be stored before or after room use.
- The cardholder making the reservation is financially liable for any damage caused during use. The library assumes no liability for loss or injury resulting from room use and reserves the right to cancel or adjust reservations.
- Library staff is not responsible for answering questions from an outside source about meeting room reservations. The library’s contact information cannot be placed on any promotional material.
